While viewing ANY folio, you may view the activity associated with it, by using the Stay Activity button in the local tool bar of the screen. The Stay Activity button is one of several tool bar icons giving quick access to various functions and is shown as a scroll of paper with words on it.
With the Folio screen open, clicking the Stay Activity button opens the Stay Activity screen, which displays a log of all of the activity that has happened regarding the specific Guest Folio.
It can be further filtered for specific Stay, Room, or Rate activity, and organized by date, type, user, etc.
Note: This screen is similar to the Document Activity Log screen, which displays a log of all of the activity that has happened with the specific folio in regards to documentation.
Select Modify Folio from the Action Bar
Note: In the NEW look for Skyware, the Action Bar appears slightly different but retains the Modify Folio button.
OR
Click Modify Folio from the Registration section of the Full Menu.
When you select Modify Folio, the Select Folio screen will open, allowing you to search for a Folio.
Currently the screen has no (Stay Information) Folios displayed. There are various options for you to select from.
Note: The default setting for the screen is to have the In-House option box checked. If the Folio you wish to search is in this group, you need only click the <<Press to Search>> link to activate the search.
Depending on the folio you are looking for, use the checkboxes across the top to generate a list of the types of Folios indicated.
In-House: Folios of Guests who are currently occupying your property.
Reservations : Folios of Guests who are not currently occupying your property but have a reservation to do so.
Groups (In-house): Folios of Guests from a group booking that are currently occupying your property.
Groups (Reservations): Folios of Guests from a group booking that are not currently occupying your property but have a reservation to do so.
Cancellations: Any Folios from Reservations made that have subsequently been canceled.
History: Any Folios for stays that have already taken place.
No Shows: Any Folios from Reservations made that never took place but were not officially canceled.
Wait List: Any Folios from Reservations made that were placed on the Wait List for some reason (for example the Guest requested a King bed, or a Group rate, that was not currently available).
Note: You DO NOT have to click <<Press to Search>>, checking any box will automatically display the list of Folios.
Note: Clicking the small "All" button will automatically select all possible options AND display the search results.
If the list provided is very large, use the search fields to enter information and limit the search results. See Searching for Guests/Groups for more details.
Then click the <<Press to Search>> link. This will display the results below the <<Press to Search>> link, with a list of how many Folios were retrieved, and the option to display the list in a new window. When entering information into the search fields, you do NOT need to hit return or enter - if you do so, this is the equivalent of clicking the <<Press to Search>> link and will generate the search.
Note: In the NEW look for Skyware, the screen functionality has been changed slightly, in that the screen does NOT automatically update after changing any of the folio type options. A search icon has been added to the end of the list of options.
When using the NEW look, this icon should be clicked to update and display the list of Folios. This allows you to select multiple options at once, rather than having the screen update every time different options are selected.
From the search results, click the row of the Folio you want to view or modify.
The selected Folio will open with the Stay Information tab displayed will open.
When the Stay Activity button is selected, the Stay Activity screen will open.
This screen contains all the information on any activity associated with the Folio it was reached from.
This may be a large amount. As such, it may be filtered to reduce the activities currently displayed, using the local tool bar.
Advanced Search: Click the (magnifying glass) button to perform a more detailed search for specific activities.
Query Builder: Report writing and data extraction tool that will allow users to create Reports. Click the (Rubik's cube) button to allow you to create a report using the pertinent information contained in this screen.
Stay Record: Click the button to RETURN to the Guest Folio screen.
Room Activity: Click the button to filter the activity list for Room related activities or changes ONLY.
Rate Activity: Click the button to filter the activity list for Rate related activities or changes ONLY.
You may ORGANIZE the data using any of the column Field names by clicking on it; by default the information is displayed in alphabetical order using the first column, Activity Date. Clicking on another Field will then display the activity information in alphabetical order according to that Field instead.
Available Fields for ALL Activity include: Activity Date, Type, User, Arrive, Depart, Nights, Status, Soft, Folio Name, Adults, Youths, Children, Pets, Rate Plan, Type, Origin, Segment, GTD, Deposit, Deposit Due, Payment Method, Credit Card # ,CC Month, CC Year, Voice Auth #, Credit Limit, Booking Name, First Name, Last Name, Do Not Move, Package Plan, Group Status, Released, Comments Interface File Response File, Reconciled, and Reconciled Date.
Optionally, you may type a value in the box below any of the Field names to FILTER the list by that value. For example you may search for a specific Activity Date.
Click Search to filter the list by the entered criteria. Only information matching the criteria will now be displayed.
Note: If you type multiple values, the screen displays activities that match all values. Thus you can filter the displayed information using MULTIPLE Fields (for example, Activity Date AND Deposit).
This allows you to efficiently find and display only the activity information that you are currently interested in viewing for the Folio, rather than the total activity.
